Here are our booking guidelines/ terms and conditions;
These terms and conditions govern the relationship between you and Wildlife Exploration Safaris, by booking a trip, you agree to be bound by these terms and condition that outline, among other things the cancellation policy and certain limitations of liability. These terms affect your rights and designate the govern law and forum for the resolution of any and all disputes.
THE CONTRACT
All people wishing to make booking have to carefully understand and read terms and conditions that follow by making a booking with the company or its agent, you accept on behalf and all those named on the booking including minors and person under a disability to be bound by these terms and conditions. A booking is accepted and becomes definite only from the date when the company send a confirmation invoice or email. It is at this point that the contract between the company and the client becomes existent. Before your booking I confirmed a contract becomes into force, the company reserves the right to increase or decrease brochure prices. The company or their agents reserves the right to decline any booking at their discretion. The person named on the booking is hereafter referred to as the client.
PRICES AND SURCHARGES
The price of the tours published may go up or down from the time of publication. Therefore, prices are based on exchange rates prevailing at the time of publication and may alter should any major variation in exchange rates occur. The company recommends that the client finds out the most up to date price of their tours including the costs of any other services provided by the company at the time of making their booking. The company reserves the right to increase tour prices after the holiday has booked but will not do so any later than 30 days before the departure date stipulated.
After confirmation invoices has been issued any increase the tour price will be as the result of changes in an increase in transportation cost including the cost of fuel. dues, taxes if fees changeable for services such as landing or embarkation fees al air ports charges. Including any fluctuations if the increase would 3 % or less of the holiday price the company will pass this increase to the client. Where the increase in price is more ban 10% of the clients holiday price then in these circumstances die clients may either
i) Withdraw from the contract without incurring any penalty or
ii) Accept the change of price
CANCELLATION POLICY
should you wish to cancel your confirmed booking, you must advise the company in writing. The date on which the request to cancel is received by the company or its agents will determine the cancellation fees applicable.
- a) Cancellation of safari/tour and independent tours- the cancellation fees are expressed hereafter as a percentage of the total tour price. excluding insurance.
- i) Cancellation 60 days or more before departure- lifetime deposit held by the company
ii) Cancellation 59-30 days before departure: 50% or cost of services booked.
iii) Cancellation less than 30 days before departure: 100 % of cost or services booked, lifetime deposit held by the company.
- b) Cancellation of arrival transfers, pre and/ or post night accommodations and may own room. The cancellation fees are expressed hereafter as a percentage of the total tour price, excluding insurance.
- i) Cancellation 31 days or more before departure 0%, of cost of services booked. Full
refund of services back to client
ii) Cancellation 30 days or less before departure 100 % of cost of services booked.
Although it rarely happens, we will do our utmost to avoid doing so, we reserve the right to cancel tours and other arrangements. Where your holiday is cancelled (other than due to your default in payment) due to unavoidable circumstances beyond our control e.g. over bookings, we will offer you the choice of purchasing an alternative holiday (and paying or receiving a refund in respect of any price difference) or receiving a full and immediate refund of all monies paid to them.
RATES
Certain factors beyond our control can cause Variation in advertised rates: fluctuation in exchange rates between the US Dollar, the Euro, and the Pula (BWP) (Republic of Botswana currency), rates of local service providers or airlines. Should such variations prove to be significant, we would be obliged to revise our rates and this automatically up to 35 days from the date of departure. No rates may be modified within 35 days of departure.
BOOKING, PAYMENT AND DEPOSITS
- When Wildlife Exploration Safaris accepts your booking, the date of the confirmation invoice activates the terms and conditions of the contract. Confirmation of services is subject to payment of a 20% of the total invoiced amount to secure space. The balance is to be paid not later than 30 days prior to commencement of the tour. When bookings are made within 30 days prior to the departure date, full payment is required immediately on written confirmation.
- We accept payments via bank transfer or credit card Visa and Master Card welcome.
- All bookings are subject to availability at the time of booking and cannot be guaranteed except for scheduled departures.
RESPONSIBILITY
The countries of Southern Africa are in many ways Third World countries. If political instability, weather conditions, or any event caused by a foreign third party likely to compromise the safety of the circuit or its smooth running were to occur, Wildlife Exploration Safaris reserves the right to modify the itinerary, the date of departure and / or return and if necessary to cancel the tour (before or during the trip) and this without the customer being able to claim any compensation.
Wildlife Exploration Safaris cannot be held responsible in the case of the following events:
- Failure to present a passport or its invalidity, resulting in the refusal of entry into a country visited
- Non-compliance with the health and administrative conditions of the country
- Absence of the customer on the date and time scheduled to start the tour
In all the above cases, the customer will not be able to claim no compensation whatsoever.
DRIVING DURING THE TRIP
Although all activities are supervised by reputable professionals and the greatest precautions are taken to ensure maximum safety at all times, the customer nevertheless acknowledges being aware of the potential risk that certain aspects of Wildlife Exploration Safaris may present. Activities such as rock-climbing- hiking, canoeing- mokoro, fishing, tracking dangerous animals on foot and open bush camps expose the client to potential risks. It is essential that the client is in good physical health and is psychologically able to cope with highly emotional situations. In any case, the customer is required to comply with the instructions of the guides accompanying the tours or those responsible for activities.
If the behaviour of a customer were to compromise the safety of the group or to disrupt the smooth running of the trip or activities, the tour guide may be required by operation of law to terminate the trip of the customer in question or the entire trip if the conditions involved it without the customer or customers being able to claim any compensation.
INSURANCE AND INDEMNITY
By accepting these conditions of sale, the customer disclaims any liability on the part of Wildlife Exploration Safaris in the case an incident – not directly attributable to a tour guide’s fault- Wildlife Exploration Safaris which would impute mental or bodily damage to the client.
All our customers are obliged to take out travel insurance in their countries of origin covering at least minimum of the following:
- Cancellation
- Death
- Accidents
- Rescue operations
- Repatriation
- Loss and theft of property
ACCOMMODATION
Wildlife Exploration Safaris accommodation standard provide sahara en-suite tented camp with private bathrooms and also on the basis of twin, single and or double tented accommodation as per the client’s interest. Single tents are available at supplementary cost with private bathrooms guaranteed.
FORCE MAJEURE
The expression “force majeure” means any event which the supplier(s) in question could not have foreseen or avoided even with all due care. Such events may include war or threat of war, riots, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, government action and all similar circumstances outside the supplier’s control. In these circumstances the suppliers shall not be liable to pay any compensation or otherwise be responsible for any expenses or losses you incur where supplier is forced as a result to cancel, delay, curtail or change your holiday arrangements in any way or where the performance or prompt performance of the supplier’s contractual obligations is prevented or affected.
COMPLAINTS
In the unlikely event that a tour member has a dispute whilst on safari this must immediately be brought to the attention (and put on record) of the Camp management leader. It is likely that the tour member’s complaint will be satisfactorily resolved there and then. If, however, this is not the case and the tour member wishes to pursue the matter on their return from safari, it is essential the complaint be communicated in writing to Wildlife Exploration Safaris office within 21 days of the end of tour quoting tour reference, destination and departure date.
SPECIAL REQUESTS
Any special requests (e.g. for single rooms or particular diet) must be notified in writing when the booking is made. Whilst the supplier will attempt to meet such requests they cannot be guaranteed and any failure to comply will not be a breach of contract.
Wildlife Exploration Safaris services do not include flight booking, but if the clients wish to give priority to do on their behalf, then we are more than welcome to assist re-confirmation and airport assistance. In cases whereby Wildlife Exploration Safaris is providing part of the services and then clients have other arrangements on own, then Wildlife Exploration Safaris will only reconfirm where forwarding address or contacts are provided.
ITINERARIES
Demand for safaris can be high and may lead to shortage of lodge/hotel accommodation. All bookings will be confirmed, but no occasions changes may be necessary. Hotels/Lodges/camps, here specifically named are given as an indication of the category and rooms may be reserved at similar lodges/ hotels/camps. We undertake to advise you of any changes known to us prior to departure, but the possibility of change without notice, must be acceptable when booking. Where ever possible we supply tents with private baths showers throughout. Single rooms are available at supplementary cost with private bath/shower guaranteed.
TRANSPORTATION
Safari 4×4 Land Cruisers for game view drives, minibuses for transfers and tour guides will be provided according to the route and number of participants. Wildlife Exploration Safaris reserves the right to employ services of sub-contractors. Multi-lingual driver guides are provided on request for more. English speaking tour guides are provided. Occasional mechanical problems, changes of lodge or adverse road conditions may in turn lead to a change of routing or game viewing without prior notice being given. We reserve the right to offer substitutes of equal value or to cancel the operation of any tour. In practice, very few itineraries are affected but a little flexibility on your part will ensure the tour is unique and rewarding.
